This page is intended for persons who have been invited by EAGE to organize a workshop as part of the conference programme. Workshops may be organized across a wide range of themes and are meant to generate new ideas and thought provoking discussions around the chosen topic. Please read all of the below details very carefully before submitting your proposal.

The deadline for abstract submission is Match 01, 2024



Please read the instructions below carefully.

The EAGE Annual includes interactive one-day  workshops, providing participants with the opportunity to gain new skills, insights and knowledge across a specific topic. The key element of the workshop programme is interactivity. As such, the workshop programme should include a broad range of elements such as: discussions, exercises, activities and practical applications. In other words the workshop should consist of "collective sharing" rather than "passive listening". To achieve this, workshops should also have a well defined theme and narrow focus.

Invited persons may submit the completed workshop proposal before the 25 October deadline using the Proposal Template and Agreement document. The proposal must include the title and description of the workshop as well as a list of co-convenors. In addition, the convenor must carefully read and sign the agreement and upload it before 25 October 2022.

Conveners are responsible for the programme of their workshop and for actively collecting the content and inviting speakers. There will be no call for papers organised specifically for the workshops by EAGE.

The deadline to compile the final programme is 1 March 2023. After having received the final compiled programme, EAGE will liaise with the selected speakers regarding the programme and registration details. 

In order to prevent Annual Workshops from being extended technical sessions, we encourage you to choose an interactive format. This will ensure that participants are actively engaged in and exchange knowledge. It is up to the conveners to choose the format for their workshop.
Below we have listed some suggestions that can make your workshop more interactive. Please let us know if you have questions regarding these workshop setups, or if you would like to proceed with one or more of the suggestions. Kindly note that you can combine one or more workshop elements:

  • Case Studies
  • Roundtable Discussions
  • Debates or Panel Discussions
  • Poster Presentations
  • Lightning Talks
  • Participant Polls
  • Group Exercises

Speakers in the workshop must submit a short summary of their talk. Presenters are also encouraged but not required to submit an extended abstract. 

Uploading abstract(s) 
Extended abstract(s) can be uploaded in several steps using the online submission module. A link to this portal will be sent to the convenors upon receipt of the completed proposal.

Submission deadline for the Workshop Programme
Please note that the submission deadline is 10 February 2023, 23:59 (CET). The portal will close automatically after this deadline.

The final workshop programme will be published on the website and other promotional materials. The final programme will need to be finished by 1 March 2023 in order for it to be advertised, promoted and visible to potential attendees. All speakers and conveners are encouraged to share the workshop information in their professional networks and social media platforms. 

Room setup
In addition to the conveners having to choose the workshop format, they are also responsible for choosing the workshop room setup.

The default room setup will be theatre style. This means that the room will be set up with rows of chairs, in order to maximise the room’s capacity. Alternative room setups may be requested subject to feasibility and capacity limits.

Please note that if you do not specify which room setup you prefer, the default Theatre setup will be chosen for you.

Each workshop room will also have a chairperson table with 2 chairs, a lectern, and basic audio-visual equipment.

Audio-visual equipment
The following audio-visual equipment will be provided for you in the workshop room:

  • Laptop on lectern
  • Beamer and Screen
  • Audio system
    • Chair person’s microphone
    • Speaker microphone
    • Microphones for the audience
  • Technician in the room
